Connected AI is off until an owner or admin turns it on. It needs the AI add-on (included on some plans).
Turn it on
- Go to AI → Connected AI in the sidebar.
- If you see Add the AI add-on, add it first. After you buy it, Studio brings you back to this page.
- Click Turn on AI connections, or flip the switch in the purple banner.
Workspace settings
Further down the page, under Workspace settings (owners and admins only):
- AI connections: the main switch. Turning it off disconnects every app; people connect again when you turn it back on.
- Allow changes: off means AI apps can only look things up. On means they can also draft and change records, as each person's role allows.
- Pause AI access: refuse every request until you unpause. Nobody is disconnected. Use this if you want a quick stop.
- Owners and admins approve money and messages: when on, only owners and admins can approve requests that send messages or touch money. When off, anyone who could do the action themselves may approve it.
Sensitive data
These are hidden from AI apps unless you turn them on. Even when on, a person's AI only sees what that person may see in Studio. You only see the switches for modules your workspace uses.
- Children and check-in: children's and guardians' names, check-in times and rooms, allergy and medical answers. Security codes are never shared.
- Private notes: notes marked private, and only the connecting person's own.
- Form and booking answers: form entries, booking answers, job applicant details, website chat messages and leads, and answers collected by workflows.
- Giving history: who gave what. Without it, an AI sees amounts and funds but never who gave.
- Sponsored children: names, stories and where they live as shown publicly. Birthdates, photos, internal notes, sponsors and money are never shared.
Click Save settings when you are done.
Who can connect
Owners and admins can always connect their own AI. For other roles, turn on Can connect their own AI for that role in Settings → Team roles. Removing it later disconnects those people's apps.
Limits
The banner shows AI actions today (it resets at midnight) and your AI credits. Each person can make up to 60 requests a minute.
