Walk-Up Booking from a Room Display

Facilities

A room display is the tablet mounted outside a meeting room. When the room is empty, anyone walking by can tap the screen and book it on the spot.

How walk-up booking works

  1. You stop by a room and see the screen says Available.
  2. You tap Book now.
  3. (If the screen asks) you enter your name.
  4. You pick a duration — 15, 30, 45, or 60 minutes.
  5. You tap Confirm. The room is yours.

What if the next meeting is coming up soon?

The display only shows duration options that fit. If the next meeting starts in 20 minutes, you can't book for an hour — only 15 minutes is available.

Extending or ending early

If the room is already booked (yours or anyone else's in the moment), the display shows:

  • Extend 15m / 30m — pushes the end time later, as long as it doesn't conflict with the next reservation.
  • End meeting — releases the room immediately so the next person can use it.

Checking in

If the room has check-in turned on, you'll see a Check In button when your meeting starts. If nobody taps it within the grace period (usually 15 minutes), the room releases itself and the reservation is cancelled — that way no-shows don't lock up the room for an hour.
