Setting up Approval Workflows

Facilities

For high-stakes spaces (the sanctuary, the boardroom, the gymnasium), you can require one or more people to sign off before a reservation is confirmed.

Turning approval on for a space

  1. Open the space's detail page.
  2. Edit and turn on Requires approval.
  3. Add an Approval chain — an ordered list of people who must approve, in sequence.
  4. Save.

How approval flows

  1. Someone creates a reservation for the space. Status is Pending.
  2. The first person in the chain gets an email asking them to review.
  3. They click through and either Approve or Reject.
  4. If they approve and there are more people in the chain, the next person is notified. If they're the last in the chain, the reservation becomes Approved.
  5. If any approver rejects, the reservation goes to Rejected with their reason, and the requester is emailed.

Viewing the approval log

Every reservation detail page has an Approval log panel showing each step — who approved, when, and any comments they left. Useful for audit and for figuring out which approver is the bottleneck.

What about spaces that don't need approval?

Leave the Requires approval toggle off. Reservations for those spaces are confirmed instantly with no email chain.
