Floor Maps & Hotspots

Facilities

A floor map gives everyone a visual picture of your facility. Upload a plan, then draw labelled hotspots on it — rooms, tables, stations, sponsor booths, coffee stations, anything worth marking. It doubles as a seating- and setup-planning tool.

How to upload a floor map

  1. Go to Facilities → Floor maps.
  2. Upload an image (PNG, JPG, or SVG) or a PDF, up to 10 MB. PDFs are converted to an image automatically so you can draw on them.
  3. Give it a name ("Main building — first floor") and pick the campus (or location) it belongs to. You can also tie a map to a specific space so it shows up on that room's page.
  4. Save.

Drawing and labelling hotspots

Open the map and use the editor:

  • Draw — drag anywhere on the map to draw a box.
  • Move & resize — click a box to select it, drag the body to move it, drag a corner to resize.
  • Name it — give each box a free-text title ("Coffee", "Sponsor table", "Room 204"). Named boxes show blue; unnamed ones show amber so you can spot what still needs a label.
  • Link a space (optional) — a box can point to one of your Spaces, but it doesn't have to. An unlinked, titled box is perfectly valid.
  • Delete / undo — press Delete to remove the selected box; ⌘Z / ⌘⇧Z undo and redo as far back as you like.

There's no Save button — every change saves itself a moment after you make it, with a quiet "Saved" confirmation. You can Print the map with all its labels at any time.

Notes on a hotspot

Each hotspot has its own Notes thread — click the notes button on a box to leave a message, attach photos or documents (up to 6 per note), and reply over time. Handy for "AV cabinet is behind this wall" or setup instructions for a particular table. A count badge shows how many notes a box has. You can edit or delete your own notes.

Per-event floor plans

A reservation can have its own layout drawn on a base map — separate from the map's permanent version — so you can lay out tables and stations differently for each event. Start it blank, copy the map's saved layout, or apply a saved layout template. Save any arrangement as a reusable template and drop it onto future events. See the reservation detail page's Floor Plan card.

Multiple floors

If your building has multiple floors, upload one map per floor. Set a sort order so they show up in the natural order (first floor, second floor, third floor) in the viewer.
