Setting Up a Room Display

Facilities

A room display is a tablet or small TV you mount outside a meeting room. It shows live status — who's in there right now, what's coming up, and lets people book the room on the spot if it's free.

Hardware you'll need

  • A cheap tablet or all-in-one display (iPad, Android tablet, or a touchscreen Mini PC work fine).
  • Power — either a wall-mounted plug or PoE.
  • Wi-Fi.
  • A wall mount that doesn't block the screen with cables.

Pairing a tablet with a 6-digit code

Displays pair the same way check-in stations do — with a short code, so you never have to type a long URL on the tablet.

  1. Go to Facilities → Room displays and click Pair & booking in the header. A panel opens showing your workspace's 6-digit pairing code and the pairing web address.
  2. On the tablet, open that pairing address (it's the /roomdisplays page on your public site — no login needed).
  3. Enter the 6-digit code and tap Continue. The tablet lists every reservable room in your workspace.
  4. Tap the room this tablet sits outside of. Studio connects the tablet to that room and jumps straight into the live display.

The tablet remembers the room it was paired to, so if it reboots it goes right back to the same screen. One code works for every tablet in your workspace — pair as many as you like. If you ever need to move a tablet to a different room, add ?switch=1 to the pairing address to re-pair it. Regenerating the code (in the same panel) stops the old code from working but leaves tablets that are already paired connected.

Choosing a display template

Each room display can use one of three looks. Open the display's detail page and pick one — the change takes effect the next time the tablet refreshes. Tap Preview on any template to see it in a pop-up first.

  • Timeline (the default) — room photo plus a live schedule rail down the day; free gaps can be booked inline.
  • Spotlight — a full-screen photo with a big centered clock ring. Dramatic and minimal.
  • Classic — a simple split layout: status on the left, the upcoming list on the right.

Configuring the display

On the display's detail page you can set:

  • Theme — Light, Dark, or Auto (switches with time of day).
  • Orientation — Landscape or Portrait, matching how you'll mount the screen.
  • Walk-up booking — let people book from the screen itself? Cap the duration so visitors can't hog the room.
  • Check-in — require people to tap "Check in" to confirm attendance. If they don't check in within the grace period (default 15 min), the room auto-releases.

What the screen shows

When the room is free: Available in green, with a big Book now button if walk-up is enabled. When the room is in use: the current meeting title, organizer, attendee count, and a countdown to the end. Below that, the schedule for the rest of the day.

Is the tablet connected?

Each display quietly checks in with Studio every 30 seconds. On the Room displays list you'll see Connected (green dot) if a tablet has checked in within about the last minute, or Not connected (grey dot) if it hasn't — along with how long ago it was last seen. That's how you catch a tablet that lost Wi-Fi or ran out of battery.
