Coming soon. QuickBooks Payments shows as "Coming soon" in Settings → Payments until it opens. These are the steps you will follow then.
With QuickBooks Payments, card payments taken in Studio go to your QuickBooks Payments account and are deposited to your bank, usually the next business day. You sign in with your own QuickBooks login. Studio never sees your password.
Before you start
- You need QuickBooks Online (not QuickBooks Desktop).
- QuickBooks Payments has to be turned on for your company. In QuickBooks, open the gear menu, choose Account and settings, then Payments, and finish the short application. Intuit usually approves it within a business day or two.
- Choose the bank account for deposits in QuickBooks. That is where your card payments go.
Connect it to Studio
- Go to Settings → Payments and choose QuickBooks Payments.
- Click Connect QuickBooks. A window opens at Intuit.
- Sign in with your QuickBooks login, pick your company if you have more than one, and allow the connection. The window closes and Settings shows the company you connected.
- Click Take payments through QuickBooks. New card payments now go to QuickBooks Payments.
Every payment page then shows "Payments processed securely by Intuit Payments Inc." with your contact details, and every receipt includes the details Intuit asks for. That is required by Intuit.
If QuickBooks asks you to sign in again
Intuit ends a connection that has not been used for 100 days, or that someone removes inside QuickBooks. When that happens Studio emails the account owner and shows Reconnect QuickBooks in Settings → Payments. Until you reconnect, card payments are paused. They never quietly switch to another processor, so no payment goes anywhere you did not choose.
Things to know
- A QuickBooks test company cannot take real payments, so Studio will not switch to one.
- Once you have taken payments through a QuickBooks company, refunds and saved cards stay with that company. Studio will not connect a different company in its place. Contact support if you are moving companies.
- You cannot disconnect QuickBooks while monthly gifts or payment plans still keep their cards there. Cancel or move those first.
- Recent QuickBooks problems, with Intuit's reference number, are listed under the QuickBooks card in Settings → Payments. Intuit support asks for that number first.
