What the volunteer sees during a background check

Workflows

When a card lands on the Background Check stage, the volunteer receives an email and self-serves the rest of the process.

Step-by-step (volunteer's view)

  1. Email arrives with a "Complete your background check" link. The link is signed and expires after 14 days.
  2. Click the link. If applicable, a payment form appears (volunteer-pays mode).
  3. Fill in consent info — first name, last name, email, phone, date of birth, SSN, ZIP code.
  4. Submit. The info goes directly to Checkr. Studio doesn't store DOB or SSN.
  5. Thank-you page appears confirming submission.
  6. Checkr processes the check — usually 1–3 business days.
  7. Studio gets the result via webhook and the workflow card auto-advances or auto-rejects based on the outcome.

Who pays?

Two options, set per workspace:

  • Workspace pays — the church/org is charged immediately when the card lands on the stage. Volunteer doesn't see a payment screen.
  • Volunteer pays — the volunteer pays via Stripe on the consent form before submitting.

Privacy

Studio forwards SSN and DOB to Checkr but doesn't store them in our database. Names, emails, and phone numbers are stored so we can show you who the check belongs to.
