The Scheduler is Studio's volunteer scheduling system. It helps churches and organizations assign people to positions for services, rehearsals, and events — then notify them automatically so they can accept or decline.
Key concepts
- Service Types — categories like Traditional, Contemporary, Youth, or Kids. Each service type has its own teams and plans.
- Plans — individual service instances (e.g. "Sunday 9am, March 15"). Plans hold times, teams, and assignments.
- Teams — volunteer groups under a service type (Ushers, Band, Tech, Hospitality).
- Positions — specific roles within a team (Lead Guitar, Camera 1, Greeter).
- Assignments — when a person is scheduled to a position on a plan. They can accept or decline.
How it fits together
You create service types and build teams with positions. When a new Sunday (or Wednesday, or special event) comes up, you create a plan, assign volunteers to positions, and send out scheduling requests. Volunteers receive a link where they can accept or decline. If someone declines, the system can automatically assign the next available person.
