Importing Events, Groups, Notes and Projects

Imports

Four modules with short files and simple rules. All four run through the same wizard, and all four have a template at Imports → Templates.

Events

One row per event. Needs a Title and a Start Date; include the time in the same cell if you have it. Leave End Date blank and Studio assumes one hour.

  • Map Event ID from your old system so re-running the file doesn't create a second copy of every event.
  • Status controls whether the event is live on your site: published, draft or cancelled. Import as draft if you want to review before anything is public.
  • Registrations and ticket orders are a separate import. Bring the events in first so those have something to attach to.
  • Events don't depend on People, so this one can run at any point.

Groups

One row per group: small groups, classes, ministries, committees. Needs a Name.

  • Map Leader Email as well as leader name. Email is what actually attaches the right person; a name on its own is a guess.
  • Import People first so leaders link to real records.
  • Group membership is a separate file. Use Advanced Import for it once the groups exist.

Notes and Interactions

One row per note: pastoral follow-ups, care logs, communication history. Each lands dated on a person's timeline.

  • Needs the note text plus one way to identify the person: their old-system ID, their email, or their full name.
  • Import People first. A note that matches nobody is skipped and reported rather than attached to a blank person.
  • Map Date of the Note or every note lands with today's date and the timeline is useless.

Projects and Tasks

One row per project, from Basecamp, Asana, Monday or a spreadsheet. Needs a Title.

  • Import Clients first. Studio will create a client from a name it doesn't recognize, but one created that way has only a name.
  • Map Project ID from your old tool for clean re-imports. It never clashes with your Studio project numbers, which are generated separately.
  • Assigned To is matched against your team members by name.

Something Not Listed Here?

Event attendees, ticket orders, group members, work orders, assets and most other tables are covered by Advanced Import, which lets you target a table directly and map every column yourself. It is on the New Import page under “need more control?”.
