Studio: The Complete Platform Guide

Getting Started

Studio is an all-in-one platform for organizations that work with people — churches, ministries, nonprofits, missionaries, and the agencies, freelancers, and companies that serve them. One workspace holds your CRM, giving, events, scheduling, communication, facilities, and business operations.

This article maps every module Studio ships. Click into any module's KB category for step-by-step how-tos.

Pick your Studio

Studio ships as one platform with six flavors. Pick the one that fits how your org thinks about its work.

Full-platform products

  • Studio Craft — for businesses. Agencies, creative studios, freelancers, companies, and corporate teams. Project management, clients, time tracking, invoicing, recurring billing, client portal, sites and plugin management. Alternative to Basecamp, Asana, HoneyBook, Dubsado.
  • Studio Faith — for churches and ministries. People CRM, giving, events, groups, check-ins, volunteer scheduling, worship planning, facilities, year-end statements, donor portal. Alternative to Planning Center, Pushpay, Tithe.ly, ChurchTrac.
  • Studio Cause — for nonprofits. Donor CRM, online giving, recurring donations, campaigns, sponsorships, events, donor portal, impact reporting. Alternative to Bloomerang, DonorPerfect, Givebutter.
  • Studio Missions — for missionaries and ministry workers. Donor base building, support letters, recurring partner giving, mission updates, donor portal, sponsorships. Alternative to MPDX, TntConnect.

Standalone products — People CRM plus one focused module, for organizations that only need one piece.

  • Studio Events — People CRM + Events + Messages with built-in safeguarding oversight for any conversation involving minors. Events bundles ticketing, registration, conditional emails, and QR check-ins. For event organizers, conferences, retreats, kids/youth programs. Alternative to Eventbrite.
  • Studio Give — People CRM + Donations + Campaigns + Forms + Messages with built-in safeguarding. Donations bundles recurring gifts, donation pages, donor portal, year-end statements, and Stripe Connect. Alternative to Givebutter, DonorBox, Givelify.

Both standalone products come in a Free tier and a Paid tier ($19/mo or $190/yr). Free has no monthly cost — Studio earns a small per-transaction platform fee (2.5% on card, 0.5% on ACH). Paid drops the platform fee (0.5% card / 0.1% ACH) and unlocks advanced features like multi-location, custom branding, and priority support. Standalone workspaces can upgrade to a full-platform flavor anytime and keep all their data.

Studio Events adds two higher tiers that unlock the Facilities module — room scheduling, work orders, asset tracking, floor maps, and meeting-room displays: Events+ ($40/mo or $400/yr) with one location, and Events Max ($99/mo or $990/yr) with unlimited locations, room displays, and 1 TB of storage. Both are a fraction of dedicated facility tools like eSPACE.

All six flavors share the same code, the same design system, and the same People CRM. Multi-mode workspaces (e.g. an agency that also runs a nonprofit arm) can mix and match modules.

People — Studio's CRM

People is the CRM. Every human or organization Studio knows about lives here as one record — donors, members, clients, vendors, partners, sponsors, leads, prospects, attendees, volunteers, applicants, sponsorees, household contacts, portal users, and team members.

The People profile is the canonical detail view — donations, events, serving assignments, sponsorships, projects, invoices, notes, tasks, and activity all surface in one place.

Every kind of record People holds:

  • Members with household relationships, membership status, baptism/communion records, and connection metrics
  • Donors with lifetime totals, last gift date, recurring status, and lapsed flags. Cash/check entries can be added manually. Organization donors are first-class with proper org-name rendering
  • Clients — the organizations you do work for (agency / freelancer / company workspaces)
  • Vendors and partners
  • Leads and prospects
  • Sponsors and sponsorees from the Sponsorships module
  • Attendees from events and check-ins
  • Volunteers with serving interests and assignment history
  • Applicants from your job board
  • Portal users and team members
  • Households — group People as a family unit with shared address and household-level mailing options
  • Relationships — spouse, parent, child, sibling, guardian, organization contacts, and professional links
  • Categories and interests for filtering, communications, and assignment routing
  • Person merge for combining duplicates without losing history
  • Activity timeline aggregating everything across modules into one chronological feed

Modules

The modules Studio ships, in alphabetical order. Toggle them on or off from Settings → Modules to fit how your org works.

Campaigns

Time-bounded fundraising pushes — capital campaigns, year-end appeals, peer-to-peer drives. Goals, matching tiers, and peer-to-peer fundraising pages. Donors can pledge an intent-to-give amount, sponsors can set up matching gift tiers, and supporters can create personal fundraising pages that roll up to the campaign total.

Careers

Public job board, application intake, and a per-workspace applications queue. Apply via your ATS URL or a built-in form. Candidates become People records whether they're hired or not.

Check-ins

QR check-in for kids, services, and events. Sunday-morning-grade child check-in and event attendance. Family QR codes for multi-child check-in, station UI for staff, pre-check-in (advance check-in before service), printed name badges with security codes, restrict pickup to authorized adults, capture allergy and medical info.

Clients

The front door to Studio's project management system. Each client has contact info, an assigned plan, retainer settings, monthly revenue tracking, and a People roster of the humans at that client.

Inside Clients:

  • Client Portal — Studio's project management tool. A branded client-facing portal that doubles as your team's PM system: add clients, run projects, share files, post comments and messages, manage tasks, and publish resources.
  • Time Tracking — track billable and non-billable hours against projects and clients. Global timer at the bottom of every screen, manual entries supported. Timesheet view filters by date, team member, client, or project.

Donations

Donors, donation pages, recurring giving, and year-end reports.

  • One-time and recurring donations through hosted Studio donation pages or embeddable forms
  • Stripe processing — donors give by card or ACH with correctly priced fees
  • Multiple funds, cover-the-fees, designation memos, custom branding, tribute gifts
  • Donor self-service from the Donor Portal — pause, change amount, swap card, cancel. Failed-payment retries and dunning emails handled automatically
  • Customizable donation pages per fund, campaign, missionary, or sponsorship. URL prefixes adapt to context (/give/ for churches and ministries, /support/ for missionaries, /donate/ for everyone else)
  • One-click year-end PDF tax statements with your tax ID and the required IRS deductibility language
  • Studio applies a small platform fee on top of Stripe's processing fees and never holds your funds

Events

Event registrations, QR check-in, and ticketing. Create events with date and time, location, capacity, registration questions, branding (logo plus accent color), and conditional emails. Public event pages can be linked or embedded. Registrants become People records.

  • Multi-tier ticketing — different prices, per-tier capacity, per-tier questions, promo codes, discount logic. Ticket revenue flows through Stripe
  • Registration forms built from the shared question library
  • Conditional emails that trigger different confirmations based on what registrants answered

Facilities

Reserve rooms and spaces, manage work orders, track assets, upload floor maps, and run meeting-room displays. Hierarchical spaces (building → floor → room), conflict detection with setup and teardown buffers, multi-step approval workflows, recurring reservations, interactive floor map uploads with clickable hotspots, work order tracking, vendor management, asset inventory with QR codes and warranty tracking, facility rental invoicing, and meeting-room display screens — tablet kiosks outside meeting rooms with walk-up booking and check-in.

Facilities is a paid module, included on the upgraded tier of each product — Faith Pro and Faith+, Cause Pro and Cause+, Craft Pro/Studio+/Studio Max, and Studio Events' Events+ and Events Max. Entry paid tiers include one location; the "+" and Max tiers include unlimited locations. See Which plans include Facilities? in the Facilities help section.

Forms

A visual form builder for any kind of form. Add fields (text, dropdown, checkboxes, multiple choice, date, file upload, signature, payment), reorder by drag-and-drop, then publish or embed anywhere. Every submission is saved as an entry you can search, export to CSV, and chart in Reports. Add a Payment field to collect a fixed or open amount through your connected Stripe. Forms can become donation pages, volunteer applications, prayer requests, registrations, or generic intake. Submissions create People records plus structured data tied to whatever destination you mapped.

Link Hub

A shareable link-in-bio page — collect your important links (website, socials, donation page, events, shop) into one page you share with a single short link or QR code. Customize the colors, button style, and avatar, and see how many people view your page and tap each link. Free for one page with up to five links; paid plans add unlimited pages and links. Like Linktree, built into Studio.

Digital Cards

A modern business card you share as a link or QR code. It has a photo, your contact info as one-tap Call, Email, and Text buttons, your links, and an Add to Contacts button that saves you straight to anyone's phone. Make a card for your team, or for the people at your clients — branded with the client's logo. Works on iPhone and Android, no app needed.

Website

A drag-and-drop page builder for branded landing pages, an about page, or a full marketing site that publishes to your public web address. Build with blocks for hero sections, text, features, and calls-to-action — no separate website tool needed.

AI Concierge

An AI assistant for your website that answers visitor questions around the clock and adds new contacts straight into your CRM. It works across your marketing, events, and donation pages so no question goes unanswered.

Pathways

Map out a journey — like a new-member path or discipleship track — as a series of milestones, and watch people move along it automatically as they check in, give, or submit forms. A board view shows where everyone is at a glance.

Signals

Automatic care alerts that flag when someone goes quiet, stops giving, cancels a recurring gift, or unsubscribes — routed to the right leader so no one slips through the cracks, with follow-up tracked.

Pipelines

A simple kanban board for tracking opportunities through stages — deals, major gifts, pledges, support raising, or sponsorships — so you always know what is in progress and what needs a nudge.

Groups

Small groups, ministry teams, classes, committees. Each group has members, a meeting schedule, leaders, neighborhoods (geographic regions), growth-stage tracking, and optional join-request approval. Group leaders see their roster, mark attendance, and message participants. A public group-browse page lets visitors find and request to join.

Invoices

Invoicing, recurring billing, and payment reminders. Create itemized invoices, email them, accept payment via public Stripe payment pages, and track paid/unpaid status. Recurring invoices auto-generate on a cadence (monthly, quarterly, annually) for retainers, dues, or standing service fees.

Locations

Multi-location and multi-campus management. Surface locations or campuses on people, events, donations, and check-ins. Each location has an address, timezone, lat/lng, and optional separate branding. Events, groups, and check-ins can be filtered by location.

Messages

Threaded conversations between team and clients, donors, or members. One unified inbox covers team-to-team, team-to-client, and team-to-member. Replies come in by email and stay threaded in Studio.

Built-in safeguarding. For any conversation involving minors, a designated safeguarding officer can review flagged threads, with a full audit log and a disclosure banner shown to participants. Designed for churches, kids/youth ministries, and event organizers running children's programs.

Notes

Internal team documentation with rich text and attachments. Free-form observations attached to a Person or kept as standalone workspace docs. Visible only to your team.

Services

Volunteer scheduling for services, rehearsals, and events. Build teams and positions, invite volunteers, request scheduling preferences (blockout dates), and send out plans. Volunteers accept or decline assignments from their inbox; sub-requests let them request coverage. People can mark what they're interested in serving (greeting, kids, tech, hospitality), and team leaders see the opt-in pool when staffing positions.

Inside Services:

  • Worship — song library, service plans, ChordPro transposition, rehearsal portal, and CCLI reporting on top of the Services scheduler.
  • Background Checks — volunteer screening via Checkr: request, track, expiration alerts.

Church metrics built in. Services rolls up attendance counts, volunteer fill rate, giving summaries, and the other weekly numbers churches report on.

Sites

WordPress site management, monitoring, alerts, and logs. Connect a client's WordPress site via the Studio Connect plugin, then monitor uptime, view installed plugins and themes, push updates, check site health, and get alerts on downtime or unauthorized plugin changes.

Inside Sites:

  • Plugin Repository — maintain a library of plugins and batch-deploy them to one or many connected client sites.

Sponsorships

Donor sponsorship of children, orphans, missionaries, widows, or projects — recurring giving, field updates, and mediated letters with full child-safety controls. Sponsorees have categories, photos (with consent tracking), and update letters. Donors get a dedicated checkout flow, a sponsorships tab in the Donor Portal, and can correspond with their sponsoree. An embeddable browse widget lets partner websites surface available sponsorees.

Tasks

CRM-style follow-up tasks attached to people — due dates, assignees, priority. Show up on the assignee's global Tasks inbox with grouping by Overdue / Today / This Week / Later. Activity logging (calls, emails, SMS, in-person meetings) is captured here too, used for donor cultivation, member care, and lead follow-up.

Todos

Personal task list for internal tracking. Private to you and not tied to a Person record.

Workflows

Visual pipelines — kanban stages, automations, assignments. Custom boards for tracking anything that moves through stages: onboarding, approvals, hiring, project triage. Define stages, drop instances onto the board, drag between stages, assign owners, and audit the history.

Public-facing surfaces

Pages that work without a Studio login so the public can give, register, apply, or check in.

  • Public donation pages — /give/, /support/, /donate/
  • Public event pages with registration and ticketing
  • Public check-in stations — kiosk mode, no login required
  • Public group browse — find a group and request to join
  • Public job board
  • Public sponsorship browse with embeddable widget for partner sites
  • Public facilities calendar, work order request form, and room status board
  • Embeddable forms via iframe or WordPress plugin
  • Room display screens — tablet kiosks outside meeting rooms with walk-up booking and check-in

Mobile apps

  • Studio — team-facing app for project management, messages, tasks, and notifications.
  • Studio Giving — supporter app for donations, recurring gifts, events, check-ins, and sponsorships.

Platform basics

One login, every place

If you have access to multiple workspaces, the Donor Portal, the Client Portal, or your personal supporter account, the Launchpad at /launchpad lets you pick which one to enter. One Studio login works across all of them.

Workspaces

Each subscriber owns one or more workspaces — your own isolation boundary for clients, donors, events, settings, branding, and team. Most subscribers have just one; agencies running several brands or churches running multi-org structures can have many.

Team and roles

Invite team members by email and assign roles (Administrator / Director / Staff / Contractor) — or create your own custom roles. Toggle financial-data access per role.

Branding

Per-workspace branding: logo, accent color, login-page customization, email template branding, and donation-page styling.

Email and notifications

Studio sends transactional email for every important event — donation receipts, event registration confirmations, sponsorship updates, password resets, team invites, task assignments, mention notifications, scheduling requests. All templates are workspace-brandable (logo, color, from-address). In-app notifications mirror email with read/unread tracking and an inbox.

Imports and exports

Bulk-import wizard with built-in mappings for Planning Center, Tithe.ly, Breeze, CCB, and generic CSV. Background-job processing for big imports, async revert if you imported the wrong file, sample CSV downloads.

Billing

Subscription management for the workspace itself — Plan, Storage, Payment Method, and Invoices. Billed through Stripe. Separate from the donation/event/invoice flow that processes incoming money.

Help

Built-in documentation at support.usestudio.app/portal/help and surfaced contextually inside the admin. Owners can write custom articles for their own workspace.
