Reviewing letters between sponsors and sponsorees

Sponsorships

Letters don't pass directly between a sponsor and a sponsoree. Every one — in both directions — waits in a review queue until someone on your team reads it and lets it through. This is the heart of the module.

The review queue

Go to Sponsorships → Correspondence. Anything awaiting a decision sits under To review, showing the direction, both parties, the subject, and when it was submitted. Open one to read it in full and then Approve or Reject.

Rejecting asks for a reason. Write one that helps — the person will usually rewrite and resend, and "please don't include your home address" gets a better second draft than "rejected".

What to watch for

  • Contact details — personal addresses, phone numbers, email, social handles. This is the most common reason to reject, and the most important.
  • Money — offers of cash or gifts outside the program, which put a sponsoree in an awkward position and can create real problems locally.
  • Promises — visits, adoption, school fees. Sponsors mean well, and a child holds onto a promise for years.
  • Anything that doesn't sit right. You know your context. Reject and ask.

Statuses

A letter is Submitted, then Approved or Rejected once reviewed, then Delivered when it reaches the other party. The record keeps who reviewed it and when, so there's an accounting later if anyone asks.

Keep it moving

The queue only protects anybody if someone actually works it. Give the job to a named person rather than "the team", and check it on a schedule — a letter that sits for six weeks is its own kind of failure, especially from a child's side of it.
