Studio's Background Checks module is a clearance tracker. You run screenings with your own provider — Checkr, MinistrySafe, your denomination's service, whoever you already use — and record each result in Studio so you have one place to see who is cleared and when it expires.
Studio does not run the check. It never orders a screening, never sees the report, never bills you for one, and never decides whether someone passed. That is deliberate: keeping the adjudication with you and your provider is what keeps your screening program compliant.
Why every organization with volunteers needs this
Anyone working with children, students, or vulnerable adults should be screened. Most insurance policies require it. Most state child-protection guidelines require it. And it's the right thing to do. What is easy to lose track of is the renewals — this module is how you stop a clearance quietly lapsing.
What you can do
- Record a check — log who was screened, which provider you used, the status, the cleared and expiry dates, and any notes.
- See clearance status at a glance — filter the list by cleared, needs review, expired, failed, or voided.
- Catch expirations before they bite — expired clearances are visible on the list so you can start the renewal with your provider.
- Void a record — correct a mistaken entry without deleting the history.
Statuses
A provider that comes back "consider" rather than a clean pass maps to Needs review, not "failed." Studio will not label a person as failed on a provider's behalf — you make that call and record the outcome.
Privacy
Background check details are sensitive. Studio stores only the status and the dates — never the underlying criminal record. The full report stays with your screening provider.
Where it lives
Open Background Checks under Scheduler in the sidebar, then click Record a Check. You can also set a person's background-check status from the Background Check field in their profile's Edit modal.
