Tasks vs Activity vs Notes: when to use which

Tasks

The Engagement card on a person profile has three tabs that all hold typed-in content: Notes, Tasks, and Activity. They sound similar but they answer three different questions.

Tasks — what needs to happen

Forward-looking. A to-do list. Tasks have a due date, an assignee, and a status (Open or Done). Use a task when you want to remember to do something, or you want a teammate to do something, by a certain date.

Examples:

  • "Call Joe back Tuesday at 3pm."
  • "Send the proposal by Friday."
  • "Schedule a discovery call this week."

Activity — what already happened

Backwards-looking. A history log. Each entry records a single touchpoint: channel (email / phone / SMS / meeting / in-person / note), subject, body, and when it happened (you can backdate). No due date, no assignee — it's a permanent record in the timeline.

Examples:

  • "Called at 3pm Tuesday — left voicemail."
  • "Sent the proposal Apr 5."
  • "Met for coffee — they're ready to sign."

Notes — what to remember

Free-form context about the person. No channel, no due date, no backdate — just observations and things you don't want to forget.

Examples:

  • "Prefers texts over emails."
  • "Has two kids, oldest is in our Wed night program."
  • "Mentioned wanting to volunteer with worship eventually."

The natural flow

  1. Create a Task for a future action ("Call Joe back Tuesday").
  2. Tuesday arrives — you do it.
  3. Mark the task Done.
  4. Log an Activity entry describing what happened on the call.
  5. If anything you learned is worth keeping around, add it as a Note.

The task is the reminder. The Activity entry is the record. The note is the memory.

All three live in the Engagement card

On every person profile, the Engagement card holds the tabs. Each tab only appears when there's something in it, so a brand-new contact starts clean. Use the header + Add dropdown (Add Note, Add Task, Log Activity) to create the first entry of each type.
